A year ago, 10 Downing Street published a dossier on Iraq's security and intelligence organizations. It was cited by none other than Colin Powell in his address to the United Nations. Then a lecturer in politics at Cambridge University discovered that much of the 19-page document was copied from three different articles, one written by a graduate student.


How did he know? In the document there was a listing of the last 10 edits of the document, showing the names of the people who worked on the file. These logs are normally hidden and cannot be viewed directly in Word.


When you distribute an Office document electronically, the document might contain information that you do not want to share publicly, such as information you’ve designated as “hidden” or information that allows you to collaborate on writing and editing the document with others. The Metadata might not be apparent when you view the document in your Microsoft Office application. Word Documents can contain all sorts of extra data, commonly referred to as "metadata". This data can include:

 
Creation date Last Edited By
Hidden Revision Logs with dates and identity of Reviewers Last Printed Date
Comments, Keywords, Subjects, and other properties Revision Count
Recent Hyperlinks Total Editing Time
Last Saved Date Internal path of the document

What is Metadata?

Metadata is information stored automatically in documents created using MS Office. Common examples of metadata are details about a file that help identify— for example, a descriptive title, the author’s name, the subject, and keywords that identify topics or other important information in the file. Track Changes and comments are also considered metadata and are possibly the most harmful in sensitive situations.

There are 3 kinds of Metadata:

1. MS Office Metadata: Common examples can be seen under "FILE properties".

2. WINDOWS Properties: Many Metadata remover products ignore the following feature despite the fact there is a lot of potentially harmful information in this category. To see some of this information, Open MS WORD, Click on File OPEN, and when the selection screen comes up, select a document that has been edited multiple times and instead of .doc file. Scroll down to “Recover Text from any File”

3. INTERNAL Properties: Details of internal file name, DMS information, and where the document is stored internally are also retained in documents and can be recreated by others without your knowledge.
   

Why do I want to remove Metadata?

 

Sometimes sensitive information is hidden in a document's metadata even after it has been visibly deleted. This metadata can be uncovered by competitors, customers, or other outside entities and can be used in harmful ways. In addition to the example above, a Word document was discovered that was written by the SCO Group that showed some harmful information in regards to a complaint it had prepared against Bank of America. Types of Built-In File Properties Removed

 
1. Automatically updated properties include statistics that are maintained for you by Microsoft Office applications, such as file size and the dates files are created and last modified.
2. Preset properties (such as author, title, and subject), or text values. For example, in Microsoft Word, you can use the Keywords property to add the keyword "customers" to your files.
3. Custom properties are properties you define. These include text, time, or numeric value to custom properties.
